Policies

We at Ronin-Expo do our best to provide a joyful and great experience for all of our attendees & guests. Rules and regulations are implemented to keep everyone safe. Please read below before attending our event at Ronin-Expo:

General Safety

  • No rough playing allowed for the safety of others.

  • Any kind of harassment (physical, verbal, or sexual) is not accepted. If someone is being harassed, please notify any of our staff for aid. Please don’t act at your own risk. Each case will be handled on a case-by-case basis.

  • All children must be attended and supervised by their adult and/or guardian at all times.

  • Respectful of staffers/volunteers on duty

  • If a staffer is not acting accordingly, please notify the venue security for aid or seek out a coordinator at the Registration Booth. Please don’t act at your own risk. 

  • COSPLAY IS NOT CONSENT

Attendees

  • All attendees must be registered to attend Ronin Expo 2023 and show their passes (wristbands) at all times.

  • Refunds are acceptable 24 hours before the event. 

    • No refunds will be made after the 24-hour period expires or at-door sales. (No exceptions)

  • For Seller Spaces, refunds are available one week before the event.

  • Transaction fees from online sales are not refundable.

  • No pass transfers for next year’s event are accepted.

  • Change of name of ownership of pass are accepted.

  • No pass hand-offs. Any pass hand-off to a non-paid attendee during the event will have their pass revoked with no refund.

  • There will be no ghosting allowed.

Cosplay Conduct

  • All cosplay is welcome but be mindful around children.

  • All props must be inspected and tagged before entering the event grounds.

  • None of the following props are allowed:

    • Airsoft guns or weapons with open chamber

    • Steel weapons with a blade or sharp tip

    • Wooden or metal equipment

    • Prop no greater than 6 ft (unless it is staff type prop)

  • If the prop does not meet standards, please discard the prop before entering the event grounds.

ADA regulations

Ronin Expo is dedicated to accommodating all attendees, staffers, and guests who may have disabilities and who are protected by federal, state, and local public accommodations and accessibility laws. 

  • Individuals who have a disability may speak with a staffer and accommodations will be made for Programming/Main Stage seating and Autographs.

  • Terasaki Budokan is solely responsible for providing accessibility and non-discrimination in their buildings and restrooms.

  • There is one elevator located inside the facility which may allow you to get access to the second floor as well as parking lot.

  • Service-animals are allowed.

Prohibited Actions/Items

The following violations will not be tolerated at an event associated with Ronin-Expo. None of these actions/items will be permitted at the event or its surrounding areas, including parking lots, plazas, or structures. 

  • Actions

    • Lewd or offensive behavior such as, but not limited to exposing nipples or genitalia. Inappropriate recordings in bathrooms or up skirts.

    • No smoking inside the venue or around the outdoor food areas

    • Unlawful conduct or failure to comply with event staff, facility, or law enforcement

    • Assaulting, threatening, discriminating, making racial, religious, ethnic, national origin, sexual orientation, gender, or other slurs will NOT BE TOLERATED

    • Bullying

  • Items

    • Open containers with alcohol. 

    • Wheeled Carts/Wagons

    • Confetti

    • Non-service animals

    • Lasers

    • Drones

    • Speakers - any loud noise that disrupts attendees or guests

    • Possession of illegal substances. 

      • Ronin Expo will not tolerate any form of illegal substance inside the event.

    • Skateboards, Rollerblades, and Rollerskates will not be allowed

      • Acceptable if it is part of a cosplay, but the item will not be allowed to be in use inside the event space.

    • Oversized backpacks

      • All bags, regardless of size are subject to inspection at any time.

    • Sticker/Adhesive

      • Refrain from placing stickers around the venue. 

COVID-19 Acknowledgement & Assumption of Risk

Acknowledgment. By purchasing a ticket or attending Ronin Expo, you understand and agree for yourself and for each attending minor for whom you serve as a guardian that the attendee at a Ronin Expo event (and, in the case of any attending minor, the guardian for the minor) assumes these inherent risks associated with attendance at the event and that attendance is at their sole discretion and risk. You and any attending minor, the guardian for the minor, agree to comply with all rules imposed by the CDC, federal state, and local governments, the rules required at the premises of the event, if any, and the rules of Ronin Expo, regarding conduct at the event related to COVID-19, and to conduct yourself reasonably and safely, in accordance with guidance from public health authorities.

Assumption of Risk.  Given the known contagious nature of COVID-19, you assume the risk that you may be exposed to or infected by COVID-19 by attending Ronin Expo and that such exposure or infection may result in personal injury, illness, permanent disability, and/or death. Further, you acknowledge and understand that the risk of becoming exposed to or infected by COVID-19 at Ronin Expo may result from your or others’ actions, omissions, or negligence, including, but not limited to, Ronin Staff, vendors, or other guests. By voluntarily attending this event, you acknowledge that you understand and assume the risks relating to COVID-19 exposure and any resulting injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that you may experience or incur in connection with your attendance.

Crowd Release/Notice of Filming and Photography

By entering Ronin Expo you are entering an area where photography, audio, and video recording may occur.

Your entry and presence on the event premises constitute your consent to be photographed, filmed, and/or otherwise recorded and to the release, publication, exhibition, or reproduction of any and all recorded media of your appearance, voice, and name for any purpose whatsoever in perpetuity in connection with Ronin Expo and its initiatives, including, by way of example only, use on websites, in social media, and advertising.

By entering the event premises, you waive and release any claims you may have related to the use of recorded media of you at the event, including, without limitation, any right to inspect or approve the photo, video, or audio recording of you, any claims for invasion of privacy, violation of the right of publicity, defamation, and copyright infringement or for any fees for use of such record media.

You understand that all photography, filming, and/or recording will be done in reliance on this consent. If you do not agree to the foregoing, please do not enter the event premises.
